Hope Walks Zambia is seeking a qualified candidate for the role of Finance and Administration Assistant to join our team in Lusaka. This full-time position offers an opportunity to contribute directly to our mission of eliminating clubfoot as an adult disability through dedicated financial and administrative support.
About the Finance and Admin Assistant Role
Reporting to the Program Manager, the Finance and Administration Assistant will play a vital role in maintaining the financial integrity and administrative efficiency of Hope Walks Zambia. This position focuses on day-to-day financial operations such as data entry, invoice processing, and record keeping, ensuring accurate and timely accounting support aligned with organizational goals.
Key Responsibilities for Finance and Admin Assistant Jobs in Lusaka
- Prepare payment vouchers, ensuring all supporting documentation is attached before processing payments.
- Manage and reconcile cash advances promptly, maintaining accurate records before issuing new advances.
- Ensure timely payment of all statutory deductions in compliance with regulatory requirements.
- Oversee petty cash management and timely replenishment.
- Maintain secure and organized filing systems for financial documents, correspondence, and data for audits and future reference.
- Assist with procurement by obtaining quotations from suppliers and adhering to Hope Walks procurement guidelines.
- Monitor supplies and update inventory records (Bin Cards).
- Support planning and coordination of events such as trainings and meetings.
- Verify and process supplier invoices, maintaining accurate accounts payable and receivable records.
- Assist in preparing monthly financial reports and provide clarifications as needed.
- Ensure quality and timely entry of family transport data in PATH Tracker Capture on a weekly basis.
- Provide logistical and administrative support for training, workshops, and seminars for Parent Advisors.
- Advise the Program Manager on quarterly budgetary needs to support effective spending plans.
Qualifications and Experience
- Bachelor’s degree in accounting, business administration, commerce, finance, or related field with an emphasis on accounting.
- Minimum of three years’ accounting experience, preferably within a healthcare environment.
- ZICCA registration is required.
- Proficiency in QuickBooks accounting software.
- Experience managing NGO donor funds is highly desirable.
- Fluency in English, both written and spoken.

- Proficient in Microsoft Excel, Word, Google Workspace, and email communication.
