Role Overview: Finance and Admin Assistant Jobs in Lusaka
Our client requires a Finance and Admin Assistant to ensure seamless administrative workflows, maintain precise financial records, and uphold professional service standards for clients. The ideal candidate will demonstrate excellent organisational skills, attention to detail, and the ability to manage multiple priorities across various business units while maintaining confidentiality and professionalism.
Key Responsibilities
- Administrative Operations: Manage daily administrative tasks, maintain physical and digital filing systems, coordinate meetings and calendars, prepare professional documents including contracts, reports, proposals, and invoices, support onboarding documentation, and ensure compliance record-keeping.
- Accounting & Financial Management: Maintain accurate financial records, prepare and issue client invoices, track receivables, process payments, assist with monthly financial reporting, budgeting, cash flow tracking, and liaise with external accountants or auditors as needed.
- Client Support: Provide administrative and accounting assistance to assigned clients, support payroll coordination where applicable, help establish basic financial and administrative systems, ensure timely communication, and maintain confidentiality across client accounts.
- HR & Recruitment Support: Assist with recruitment coordination including interviews and scheduling, prepare offer letters and employment contracts, maintain candidate and employee records, support onboarding processes, and contribute to HR documentation and reporting.
- Systems & Process Improvement: Identify opportunities to enhance administrative and financial processes, support implementation of HR, finance, and document management systems, and promote consistency across internal and client workflows.
Desired Experience and Skills
- Diploma or Degree in Accounting, Finance, Business Administration, or a related field.
- Minimum of 2 to 4 years’ experience in an administrative or accounting role.
- Experience working with SMEs, startups, or professional services firms is highly desirable.
- Proven ability to support multiple stakeholders or clients effectively.
- Strong proficiency in Microsoft Excel and familiarity with accounting software such as Sage, QuickBooks, or Xero.
- Excellent document preparation skills using Word and PowerPoint.
- Basic understanding of payroll processes and statutory compliance in Zambia.
- Exceptional attention to detail, organisation, and time management skills.
- Professional verbal and written communication abilities.
- High integrity, confidentiality, and a proactive, solutions-oriented approach.
