Role Overview: Graduate Trainee Executive Assistant
This role provides high-level administrative, coordination, and executive support to the Executive Members within our fintech business. The Graduate Trainee Executive Assistant will manage executive activities, facilitate seamless communication, and support the execution of strategic and operational priorities. You will work closely with all Executives to enhance productivity and uphold governance standards.
Key Responsibilities for Graduate Trainee Executive Assistant Jobs in Lusaka
- Manage executive calendars with 100% accuracy and timeliness.
- Coordinate travel arrangements ensuring zero disruptions to itineraries.
- Maintain filing and documentation with ≥ 99% accuracy and error-free standards.
- Ensure continuous availability of office supplies, communication tools, and systems.
- Achieve a satisfaction rating of ≥ 90% from Executive Members.
- Complete all administrative tasks within agreed turnaround times.
- Maintain strict confidentiality and adhere to governance protocols at all times.
- Implement at least two administrative process improvements each quarter.
- Coordinate executive communications and engagements across multiple business units.
- Collaborate effectively with HR, Finance, Strategy, Corporate Affairs, and Administration teams.
- Prepare accurate documents, briefs, and packs for Executive meetings, including ExCo and Board engagements.
- Support delivery of Executive-driven projects and priority initiatives.
- Interface with internal business units, Group teams, external partners, and high-level stakeholders.
- Develop and enhance administrative systems and processes to improve efficiency.
- Manage confidential communications and escalate critical issues requiring Executive attention.
- Coordinate logistics, protocol, and travel arrangements for all Executive movements.
- Champion best practices and organizational standards within the Executive office.
- Encourage effective communication and information sharing between Executives and stakeholders.
Candidate Requirements
- Grade 12 certificate with at least 5 credits, including English and Mathematics.
- Bachelor’s degree in Business Administration, Public Administration, Human Resources, or a related field.
- Additional certification in Executive Assistance, Office Management, or Administration is an advantage.
