Reporting directly to the Engineering Manager, the Business Services Manager will provide strategic and operational leadership for all non-technical support functions within the Maintenance Department. This key role ensures efficient maintenance operations through comprehensive management of budgeting, cost control, CMMS data integrity, procurement, contract management, workforce administration, training compliance, performance reporting, and continuous business process improvement.
Key Responsibilities
- Develop, consolidate, and manage the annual maintenance budget, including operating expenditure (OPEX) and capital expenditure (CAPEX) for maintenance projects.
- Monitor actual versus budgeted spending on labour, parts, consumables, contracts, and services weekly and monthly.
- Prepare detailed monthly financial reports and variance analyses for maintenance leadership.
- Identify and implement cost-saving initiatives without compromising safety or reliability, such as parts substitution and inventory optimization.
- Approve purchase requisitions, contract variations, and invoice coding within delegated financial authority.
- Collaborate with supply chain and warehouse teams to optimize inventory levels, manage critical spares, and ensure stock accuracy.
- Manage user access, role-based permissions, and CMMS training for maintenance personnel.
- Lead CMMS upgrades, implementations, and integrations with ERP, telematics, and condition monitoring systems.
- Develop and present maintenance KPI dashboards using tools like Power BI, Tableau, or Excel to support decision-making.
- Track and report on strategic initiatives and continuous improvement projects within the maintenance department.
- Manage procurement of maintenance goods and services, including OEM parts, tooling, and contractor labour.
- Monitor vendor performance and conduct quarterly business reviews with key suppliers.
- Oversee workforce planning, including headcount, shift coverage, skills matrix, and roster management.
- Ensure training compliance for statutory certifications, OEM training, safety courses, and trade qualifications.
- Identify inefficiencies in maintenance business processes and implement digital solutions to automate workflows and reporting.
- Ensure compliance with site policies, financial delegations, audit requirements, and regulatory standards.
- Support internal and external audits related to finance, procurement, CMMS data, and contractor management.
- Communicate business performance, risks, and opportunities to maintenance leadership and represent the department in site-wide forums.
- Lead, coach, and develop a team of administrators, analysts, coordinators, and support personnel.
- Promote a service-oriented culture that supports frontline maintenance execution and uphold high safety and health standards.
Candidate Requirements
- Minimum degree in Mechanical Engineering, Business Administration, Supply Chain, or related field.
- At least ten years’ experience in a similar role within mining, heavy industry, or asset-intensive sectors.
- Proven expertise in managing budgets and controlling costs effectively.
- Proficiency with Computerized Maintenance Management Systems (CMMS), preferably SAP.
- Demonstrated success in CMMS implementation, data cleanup, or transforming performance reporting.
- Membership with the Engineering Institute of Zambia is required.
