OLIBUL Investments Limited is a proudly Zambian, citizen-owned company with over a decade of operations in sand mining, limestone quarrying, industrial minerals, and cross-border bulk haulage freight across the North-Western Province and the regional SADC corridor. Efficient parts availability and disciplined procurement are critical to keeping our fleet moving and our quarry plant productive, and we are seeking a detail-driven professional to take ownership of both.
Job Purpose
This is a combined role responsible for managing the heavy-equipment parts warehouse and executing the company’s day-to-day purchasing. The successful candidate will source, store, and issue heavy-duty truck spares and quarry consumables to minimise vehicle downtime, while running an efficient procurement function that secures quality goods at competitive prices and on reliable delivery terms.
Key Responsibilities — Stores & Inventory
- Inventory Management — Oversee the receipt, inspection, and dispatch of heavy-equipment and truck parts and sand/stone quarry consumables (filters, screens, wear parts). Manage minimum and maximum stock levels to prevent stock-outs.
- Parts Identification — Accurately identify heavy-duty truck parts (engines, transmissions, hydraulics, braking systems) using OEM parts manuals and computerised inventory systems.
- Stock Control — Conduct regular cyclical and perpetual stock counts, investigate variances, and ensure strict reconciliation between physical stock and the ERP/inventory system.
- Workshop Liaison — Work closely with mechanics and fleet supervisors to ensure timely availability of spares for routine maintenance and breakdowns.
- Security & Safety — Enforce strict access control to the stores area and ensure all hazardous materials and heavy-equipment parts are stored in compliance with local safety regulations.
Key Responsibilities — Procurement
- Vendor Sourcing — Research, identify, and evaluate local and regional suppliers for vehicle parts, quarry consumables, PPE, and general operational materials.
- Quotation Management — Prepare Requests for Quotation (RFQs), analyse received bids, and compile commercial bid evaluations for management approval.
- Purchase Orders — Generate and issue Purchase Orders accurately and promptly, ensuring all specifications match end-user requests.
- Expediting & Delivery — Track open purchase orders and coordinate with transport and logistics to ensure timely delivery of goods to the quarry or depot.
- Invoice Verification — Review supplier invoices, delivery notes, and purchase orders for price or quantity discrepancies before routing for payment.
- Supplier Relations — Build and maintain strong supplier relationships, negotiating favourable terms, credit lines, and rapid delivery times.
Reporting
Generate daily, weekly, and monthly reports on parts usage, slow-moving stock, expenditure, and procurement savings.
Minimum Requirements
- Diploma in Materials Management, Supply Chain, Purchasing & Supply, or a relevant mechanical/engineering discipline (CIPS qualification an advantage)
- Minimum 3–5 years’ experience in spare-parts management for heavy-duty commercial trucks (Volvo, Mercedes-Benz MP4, DongFeng) or mining/quarrying plant, with demonstrable procurement exposure
- High proficiency in computerised inventory and ERP systems (e.g., SAP, Pastel Evolution, or similar)
- Strong negotiating ability and proficiency in Microsoft Office (advanced Excel an advantage)
- Strong analytical skills, a keen eye for detail, and sound conflict-resolution skills for handling pricing and delivery disputes
- Full Grade 12 School Certificate
