Community Markets for Conservation (COMACO) is seeking a dedicated Stores Officer to oversee warehouse stock management at its Lusaka, Zambia location. Role Overview

The Stores Officer will be responsible for managing all stock within the warehouse environment. This includes maintaining precise inventory records, conducting routine stock counts, and implementing controls to safeguard assets. The role demands multitasking, professionalism, and effective collaboration with cross-functional teams to support smooth inventory operations.

Key Responsibilities for Stores Officer Jobs in Lusaka

  • Inventory and Stock Management:
    • Maintain accurate and timely inventory records for all stock receipts, issues, and transfers.
    • Monitor stock levels and initiate replenishment to ensure adequate supply.
    • Conduct weekly, monthly, and quarterly stock counts and reconcile discrepancies.
    • Process and verify stock returns from customers and internal departments before restocking.
    • Manage issuance and tracking of non-stock items and consumables.
    • Ensure all stock movements are properly authorized and documented, maintaining updated bin cards daily.
  • Dispatch and Delivery Controls:
    • Monitor stock issued for sale but pending delivery, maintaining registers of outstanding deliveries.
    • Follow up to ensure prompt return of signed Delivery Notes and reconcile dispatched stock with confirmations.
    • Escalate unresolved delivery issues to relevant management for investigation.
    • Coordinate with logistics and sales teams to guarantee timely and accurate deliveries.
  • Warehouse Operations:
    • Maintain a clean, organized, and secure warehouse environment free of obstructions.
    • Coordinate loading and offloading activities to support operational efficiency.
    • Implement proper stock rotation using FIFO and FEFO principles.
  • Documentation and Reporting:
    • Prepare and process Goods Receipt Notes (GRNs), Delivery Notes (DNs), Purchase Requisitions (PRs), and other inventory documentation accurately and on time.
    • Maintain daily stock movement and transfer reports as well as monthly inventory reconciliation and variance reports.
    • Manage inventory reports for consumables and packaging, and follow up on inventory claims to ensure timely credit note processing.
  • Internal Controls and Compliance:
    • Participate in periodic stock audits and spot checks.
    • Ensure compliance with company policies, warehouse procedures, and health and safety standards.
    • Report stock discrepancies, damages, or irregularities immediately.
  • Team Coordination:
    • Collaborate closely with warehouse, logistics, finance, and sales teams to support efficient inventory management.
    • Contribute to maintaining an organized, productive, and accountable warehouse environment.

Qualifications and Experience

  • Diploma or Degree in Supply Chain Management, Logistics, Stores Management, Business Administration, or a related field.
  • At least 3 years of experience in stores or warehouse management.
  • Proficiency in SAGE inventory management systems and stock control procedures.
  • Strong skills in Microsoft Excel and report writing.
