Key Responsibilities

Inventory Management

  • Receive all stock strictly against an approved Purchase Order (PO). No stock may be accepted without a valid PO.

Verify all deliveries against:

  • Purchase Order (PO)
  • Delivery Note
  • Physical quantity and condition

Immediately report any discrepancies before booking stock.

Capture all receipts in FMP and ensure alignment with SAP.

No stock may be issued without a valid Work Order.

Ensure all issued items are:

  • Linked to a Work Order
  • Captured in FMP in real time
  • Delayed capturing of stock movements is strictly prohibited.

Stock Issuing & System Control

FMP is the primary operational system for all stock movements.

SAP must always reflect 100% alignment with FMP.

The Storeman is directly responsible for:

  • Accurate issuing (Physically and on FMP)
  • Real time system updates on FMP
  • Preventing system manipulation or backdating

Any request to issue stock without a Work Order must be refused and escalated immediately.

Any attempt to bypass procurement or system controls must be reported to:

  • Head of Procurement and
  • Head of Maintenance & Construction

Stock Control and Storage

Maintain strict control over all inventory to prevent:

  • Loss
  • Theft
  • Misuse

Ensure all items are:

  • Clearly labelled
  • Correctly bin located
  • Easily traceable in system
  • Monitor Minimum Reorder Levels (MROL) and escalate shortages proactively.
  • Manage slow moving and obsolete stock with visibility to procurement.

Stock Counts & Audit Compliance

Conduct:

  • Daily cycle counts (where applicable)
  • Weekly partial stock counts
  • Monthly full reconciliations (as required)
  • Investigate and report all variances immediately.
  • No variance may remain unresolved.

Fully support:

  • Internal audits
  • External audits

Ensure:

  • Physical stock = FMP = SAP at all times

Documentation and Reporting

Maintain complete traceability of:

  • Receipts
  • Issues
  • Returns

Ensure all transactions are:

  • Supported by valid documentation
  • Captured in real time

Provide accurate reporting when required:

  • Stock balances
  • Usage trends
  • Variance reports

Shift Control & Handover

Ensure proper handover between shifts:

  • Open transactions
  • Pending issues
  • Stock discrepancies
  • No stock movement may occur without system capture, regardless of shift.
  • Night shift operations must follow the same controls as day shift.

Coordination and Communication

Work strictly through Procurement for all sourcing and ordering.

Do not engage suppliers directly unless instructed.

Escalate immediately:

  • Urgent stock shortages
  • System discrepancies
  • Non compliant requests
  • Pressure to bypass controls

Safety and Compliance

Follow all hazardous material handling procedures.

Ensure compliance with:

  • Company policies
  • Procurement SOPs
  • Audit requirements
  • Any breach of process must be reported immediately.

The Storeman is directly accountable for the accuracy, integrity, and control of all stock within the store.

Failure to follow system controls, including issuing without a Work Order, receiving without a Purchase Order, or failure to capture transactions in real time, will be treated as serious misconduct and may result in disciplinary action.
