Job description

POSITION OVERVIEW

Mayiko Infrastructure Limited, a leading global mining conglomerate, is seeking a highly organized, professional, and discreet Secretary with 3–4 years of experience to serve as the administrative backbone of our corporate office. This role is critical to the smooth operation of our executive team and requires exceptional communication skills, a proactive approach to problem-solving, and the ability to manage competing priorities in a fast-paced, global mining environment.

KEY RESPONSIBILITIES

Executive Support

  • Provide high-level administrative support to senior management, including complex calendar management, meeting coordination, gatekeeping, and travel logistics.

Communication Hub

  • Act as the primary point of contact for internal stakeholders, investors, and international partners.
  • Prepare, proofread, and edit high-level correspondence, reports, and presentations.

Meeting & Governance Support

  • Coordinate management meetings, prepare agendas, record minutes, and track critical action items.
  • Ensure compliance with corporate governance standards.

Document Management

  • Manage both physical and digital filing systems, ensuring sensitive operational and financial data is properly organized and securely stored.

Operational Efficiency

  • Monitor office inventory, coordinate equipment maintenance, and streamline administrative workflows to enhance team productivity.

Confidentiality

  • Handle highly sensitive company information with strict discretion and integrity at all times.

QUALIFICATIONS:

  • Diploma or Degree in Secretarial Studies, Business Administration, or a related field.
  • 3–4 years of proven experience as a Secretary, Executive Assistant, or in a similar role.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and time-management abilities.
  • High attention to detail and strong problem-solving skills.
  • Ability to work independently and collaboratively in a team environment.
