Procurement of Farming Inputs (Fertilizer) -Tender number:  ZRCS/NLRC/CCFI/25B

Background and objective:

As part of the Zambia Red Cross Climate Smart Agriculture programmes, the ZRCS with the support of the Netherland Red Cross is under the Chronic Crisis implementing some climate-smart agriculture activities in Kalabo, Choma and Sinazongwe Districts. This request for quotation is to acquire assorted Farming Inputs from reliable suppliers operating in Zambia.

The fertilizer described in the documents must be of sound, fair and marketable quality and must meet the following quality specifications:

Quality specifications

According to official government standards of country of origin.

Conformity tests

Guarantee / Warranty. The Seller warrants the goods and/or services under this order to be fit for their intended use, free from defects, and indemnifies the ZRCS against any claims resulting therefrom. This warranty is without prejudice to any further guarantees that the Seller provides to the Buyer, such guarantees shall apply to the subject goods of this order. Goods that do not conform to the specifications or submitted samples will be rejected by the Buyer, and the cost of replacement with conforming goods and any additional costs thereby incurred by the Buyer shall be borne by the Seller.

Packaging and Transport to destination

All Fertilizer must be packed suitable for road transportation including rough handling to final destination. Supplier shall be responsible for all costs arising from transportation and delivering goods to above actual stage of delivery. The Supplier must take out at his own expense an insurance policy covering all risks wherever deem necessary.

Delivery destinations

Fertilizer to be delivered as follows:

1.     Kalabo

2.     Choma

3.     Sinazongwe

Delivery delay

THE GOODS ARE REQUIRED URGENTLY AND FOR IMMEDIATE DELIVERY. The supplier shall advise best delivery date and transport time to the destinations mentioned above.

Liquidated Damages

Arrival after agreed delivery schedule will be subject to a deduction from the invoice of 0.3% per day of the total value of the contract.

Currency:

All costs shall be fixed and firm in ZMW only.

Payment terms

Within 30 days from date of goods receipt and all supporting documents in good order by the ZRCS.

Validity:

Your offer must remain valid for 30 days before which a Local Purchase Order, if placed, should be accepted by you.

All or None Clause:

The ZRCS reserves the right to accept the whole or part of your offer and the lowest evaluated bid will not automatically be accepted.

Conditions for submitting proposals:

Your proposal must be accompanied with the following required documents:

–        Copy Certificate of Incorporation

–        Copy of Valid Tax Clearance Certificate

–        Proof of similar activities carried out with other Agencies
