Avencion Limited is inviting qualified consultants or contractors to submit proposals for the provision of comprehensive property and facilities management services. The selected contractor will be responsible for the day-to-day operations, upkeep, and logistical support across our premises, assets, vehicles, and support teams.
Scope of Work Includes
Property & Asset Management
Diligently manage premises, pools, vehicles, and company tools.
Conduct routine site visits and inspections using checklists.
Perform regular maintenance and minor repairs (lighting, water, pool, painting, etc.).
Ensure cleanliness and professional appearance of all sites.
Team Supervision
Manage the property support teams: security, canteen, drivers, and cleaners.
Coordinate schedules, attendance, and payroll processing.
Hold bi-weekly meetings with team members and report to the Client’s administration unit.
Maintenance & Repairs
Address repair needs across IT, office equipment, vehicles, and general infrastructure.
Ensure timely servicing of company vehicles (oil changes, tires, coolant, etc.).
Renew all motor vehicle road tax, insurance, and certifications at least 15 days before expiry.
Administrative & Logistical Support
Respond within two hours to operational needs during working hours.
Monitor gas supplies and request refills when needed.
Notify the administrative unit when supplies are required for properties, pool, or vehicles.
Provide delivery and driving services when necessary.
Accountability
Contractors will be responsible for damages to any company tools or property provided during the contract period.
Proposal Requirements
Interested consultants/contractors should submit:
Company profile and relevant experience
Technical proposal outlining approach and capabilities
Financial proposal (quotation for services)
References from at least two similar previous assignments
Valid registration and relevant business licenses
Contract Duration
12 months with possible extension
