Commercial Water Utility Company | Position: Management Secretary (G5) – 1 Position
Luapula Water Supply and Sanitation Company Limited (LpWSC) is seeking a proactive, highly organized, and reliable Management Secretary (G5) to join its team at the Head Office in Mansa.
Job Purpose:
To provide efficient and effective administrative and secretarial support services to Management, ensuring smooth office operations, effective communication, excellent document management and filing, scheduling of activities, events and meetings, and coordination of activities in line with organizational standards.
Main Duties & Responsibilities (Principal Accountabilities):
- Event Scheduling: Manage and prioritize executives’ calendars, diaries, schedule meetings, coordinate appointments, and itineraries.
- Communication: Handle and prioritize all incoming and outgoing written correspondences, emails, phone calls, and official memos.
- Document Preparation: Prepare, format, type, and edit documents, reports, letters, memoranda, articles, presentations, and publications.
- Meeting Support: Prepare and circulate meeting agendas, record accurate minutes at meetings, and assemble required meeting materials.
- Travel Arrangements: Plan and book travel itineraries, transport, and hotel accommodations for executives, events, and training sessions.
- Records Management: Organize, maintain, and manage general office filing systems (physical and digital) for prompt retrieval and reference.
- Confidentiality: Handle sensitive and confidential company information and documentation with strict integrity.
- Office Support: Receive and assist official visitors, manage office supplies/replenishments, and oversee office tidiness and equipment functionality.
- Response Time Management: Ensure incoming and outgoing correspondence are attended to within stipulated turnaround times.
- Risk Management: Track and maintain up-to-date operational risk registers for the department.
Qualifications & Experience:
- Grade 12 School Certificate or Equivalent with a minimum of Five (5) “O” Levels, including Credits or Better in English and Mathematics.
- Diploma in Management Studies, Public Administration, Secretarial Studies, or related Management discipline (a Bachelor’s Degree is an added advantage).
- 120/60 wpm Shorthand and Typing Speed is a mandatory requirement.
- Minimum of Two (2) years of relevant work experience in similar secretarial/administrative roles.
- Proven Computer Skills (proficiency in Microsoft Office Suite: Word, Excel, PowerPoint, Outlook, and Internet).
- Membership to a relevant Professional Body is desirable.
- Qualifications must be verified by the Zambia Qualifications Authority (ZAQA).
- Preferred Age Limit: Not older than 45 Years Next Birthday.
