YOUNG WOMEN CHRISTIAN ASSOCIATION (YWCA)

JOB TITLE:         Human Resource Officer

REPORTS TO:   Finance Manager

SUPERVISING:  Non

LOCATION:      Lusaka – YWCA National Office

JOB SUMMARY

The Human Resource Officer will be responsible for supporting the development and implementation of effective human resource management systems and practices within YWCA. The role ensures compliance with organizational policies and labour laws while promoting a positive, inclusive, and productive work environment. The Human Resource Officer supports recruitment, staff development, performance management, and employee relations in alignment with YWCA’s mission and values.

 

KEY DUTIES AND RESPONSIBILITIES

·      Coordinate the recruitment process including drafting job adverts, shortlisting, and scheduling interviews.

·      Facilitate onboarding and orientation of new staff.

·      Ensure recruitment processes are transparent, fair, and aligned with YWCA policies.

·      Maintain accurate and up-to-date personnel records and HR databases.

·      Prepare employment contracts, job descriptions, and other HR documentation.

·      Ensure proper filing and confidentiality of employee information.

·      Support the implementation of performance appraisal systems.

·      Monitor staff performance and provide guidance on performance improvement plans.

·      Support supervisors in setting performance targets and conducting reviews.

·      Identify staff training needs and coordinate capacity-building initiatives

·      Address staff concerns and grievances in a timely and professional manner.

·      Promote staff welfare, motivation, and engagement initiatives in liaison with YWCA management.

·      Ensure compliance with labour laws and organizational HR policies.

·      Support the development and review of HR policies and procedures.

·      Promote adherence to YWCA values, gender equality, and safeguarding policies.

·      Promote safeguarding principles and ensure all staff adhere to safeguarding policies and Support initiatives that foster an inclusive, respectful, and gender-sensitive workplace.

·      Provide administrative support to management as required.

·      Assist Former staff in accessing NAPSA and PAYE benefits.

QUALIFICATIONS AND EXPERIENCE

  • Diploma in Human Resource Managment
  • Bachelor’s Degree in Human Resource Management will be an added advantage
  • Minimum of 3 years’ relevant experience in human resource management.
  • Membership with the Zambia Institute of Human Resource Management (ZIHRM) .
  • Knowledge of Zambian labour laws and HR best practices.

 

SKILLS AND COMPETENCIES

  • Strong interpersonal and communication skills.
  • High level of confidentiality and integrity.
  • Good organizational and time management skills.
  • Proficiency in Microsoft Office applications.
  • Ability to handle sensitive information with professionalism. 

SAFEGUARDING AND CODE OF CONDUCT

The Human Resource Officer is required to uphold YWCA safeguarding policies and code of conduct, ensuring the protection of women, children, and vulnerable populations, and promoting a safe working environment at all times.

COMMITMENT ON PROTECTION FROM SEXUAL EXPLOITATION AND ABUSE (SEA)

The HR Officer will be required to commit to adhere to the zero-tolerance policy of the YWCA towards Sexual Exploitation and Abuse and to take all necessary measures to ensure this policy is maintained and promoted. He/She will commit to support all the efforts of the YWCA to prevent and respond to SEA allegations, in particular:

  • Adhere to the YWCA’s code of conduct, SEA Mandatory reporting of any SEA situation the employee should become aware of
  • The mandatory participation to all trainings and sessions on SEA organised and facilitated by YWCA
  • The mandatory participation in good faith in any investigations or audit undertaken by the YWCA following the reporting of a SEA allegation.

Breaches in these requirements will be dealt with in accordance with the YWCA policies and may lead to sanctions being imposed (e.g., dismissal, suspension, written censure or other administrative/corrective measures) including termination of employment.
