Job description
About the Role:
Vaimar Farms Limited is recruiting a highly organized and proactive Fleet Controller on behalf of our sister company, Singa Logistics. In this role, you will manage both local and cross-border transport operations, maximizing vehicle utilization, monitoring international fuel efficiency, and maintaining strict driver compliance across our expanding regional logistics operations.
Key Duties and Responsibilities:
- Real-Time Tracking: Monitor and track fleet vehicles across regional corridors using GPS/tracking systems to ensure route compliance and safety.
- Dispatch & Scheduling: Coordinate the daily dispatch, international routing, and scheduling of vehicles and drivers to maximize cross-border operational efficiency and minimize running costs.
- Driver Communication: Maintain continuous communication with drivers regarding delivery instructions, border clearing updates, real-time route changes, and regional alerts.
- Operational Logs: Record and audit vehicle movements, trip information, cross-border fuel usage logs, and driver activities.
- Document Compliance: Ensure drivers submit all required local and international trip documentation on time, including Proof of Deliveries (PODs), customs paperwork, clearing documents, trip sheets, and fuel receipts.
- Incident Reporting: Promptly report and log vehicle breakdowns, border delays, accidents, and other operational incidents to senior management.
- Maintenance Coordination: Schedule and coordinate routine vehicle maintenance, servicing, international fitness compliance certifications, and repairs to minimize downtime.
- Compliance Enforcement: Monitor driver compliance with company policies, international border safety regulations, and cross-border road transport legislations (including RTSA and regional SADC transport protocols).
- Customer Liaison: Coordinate with customers and clearing agents regarding cross-border delivery schedules and provide accurate tracking and shipment updates when required.
- Administrative Support: Maintain accurate, up-to-date fleet records, update internal operational systems, and handle standby/after-hours regional support duties when required.
Required Qualifications and Experience:
- Education: Diploma or Degree in Logistics, Transport Management, Supply Chain, or a related commercial field.
- Experience: Minimum of 2–3 years of hands-on experience in fleet tracking and dispatching, with explicit experience in cross-border / international transport operations within the SADC region.
- Technical Skills: Proficiency in modern GPS fleet tracking software, fuel management modules, corridor mapping, and Microsoft Excel.
- Regulations: Strong working knowledge of Zambian road transport laws, RTSA requirements, COMESA/SADC regional cross-border rules, and clearing/customs workflows.
- Attributes: Excellent communication skills, ability to manage long-distance drivers firmly but professionally, and strong problem-solving skills under pressure during border delays or en-route incidents.
- Flexibility: Willingness to participate in after-hours support or standby duties as required by international transit demands.
