Fleet Controller Jobs in Ndola – Africa Personnel Services

We are seeking a dedicated and detail-oriented Fleet Controller to join our team in Ndola, Copperbelt, Zambia. This contract position offers an exciting opportunity to manage and control the import, export, and local operational processes, ensuring seamless planning, collection, delivery, and invoicing in line with client and company standards. Key Responsibilities for Fleet Controller Jobs in Ndola

  • Operational Management: Maintain accurate and timely updates of the Transport Management System (TMS) including customer allocations and vehicle planning.
  • Incident and Complaint Handling: Record all incidents promptly using the complaints module and ensure high levels of customer service by addressing client queries efficiently.
  • Route and Convoy Compliance: Monitor driver adherence to designated routes, convoy protocols, and refuelling strategies to meet transit targets and communicate delays proactively.
  • Order Monitoring & Booking: Assist clients with operational and documentary requirements, track orders until stacking or delivery, and provide regular progress updates.
  • Customs Clearing: Ensure timely processing and handover of customs documentation, follow up on clearance with SARS, and obtain necessary releases from shipping and freight agents.
  • Transport & Delivery Coordination: Issue transport booking orders with all relevant details, arrange hazardous material documentation when applicable, and ensure delivery aligns with client instructions.
  • Quality Control: Perform thorough checks on operational files before closure, ensuring compliance with Customs & Excise and VAT Acts, as well as ISO 9001 QMS guidelines.
  • Status Reporting: Provide daily road freight tracking reports to customers by 9am and deliver project-related reports within 24 hours of activities.
  • Additional Duties: Maintain confidentiality, keep work areas organized, adhere to company policies, and perform other tasks as assigned by management.

Required Skills and Attributes

  • Proficient in MS Office Suite with strong computer literacy.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and ability to work effectively within a team.
  • Capacity to work under pressure and meet strict deadlines.
  • High attention to detail, self-motivated, proactive, and methodical approach to work.
  • Ability to give and take instructions clearly and efficiently.

Qualifications and Experience

  • Matric (Grade 12) certification.
  • Diploma or Degree in Logistics Management, Supply Chain Management, or related fields.
  • Minimum of 2-3 years’ experience in freight forwarding or logistics industry.
  • Strong knowledge of fleet management including tyre management, fleet maintenance, and fuel management.
  • Good understanding of Transport Management Systems (TMS) and customs procedures.

Performance Indicators

  • Accuracy and real-time updates of the TMS system.
  • Daily delivery tracking and reporting by 8am, including weekends.
  • Strict adherence to transit Standard Operating Procedures (SOP).
  • Timely arrival for loading and offloading with zero missed loads.
  • Maximization of financial revenue through efficient operations.
  • Maintaining positive working relationships with transporters and colleagues.
