Job description

We are seeking a sharp, proactive, and highly organized Executive Assistant (EA) to serve as the strategic right-hand to our Executive Director. This is not a passive, gatekeeping role; it is an active partnership. You will be the primary point of contact for internal and external stakeholders, managing the moving parts of the Executive Director’s professional life so they can focus on high-level strategy and leadership.

The ideal candidate possesses exceptional judgment, handles confidential information with total discretion, and stays three steps ahead of scheduling conflicts and project deadlines.

Key Responsibilities

  • Calendar & Schedule Management: Act as the strategic gatekeeper of the Executive Director’s time. Prioritize, organize, and manage a high-volume calendar across multiple time zones, ensuring days run seamlessly.
  • Gatekeeping & Communication: Serve as the primary point of contact for internal teams, board members, investors, and external partners. Draft, review, and polish high-stakes emails, memos, and correspondence.
  • Meeting Preparation & Briefing: Ensure the Executive Director is fully briefed and prepared for all engagements. This includes compiling agendas, creating briefing documents, and building visually compelling presentation decks.
  • Project Tracking & Follow-up: Track action items from executive and board meetings. Gently but firmly hold team leaders accountable to deadlines on behalf of the Executive Director.
  • Travel & Expense Logistics: Coordinate complex domestic and international travel itineraries, including flights, lodging, visas, and ground transit. Handle subsequent expense reconciliation.
  • Special Projects: Take ownership of ad-hoc projects, internal culture initiatives, or research assignments as directed by the Executive Director.

What We Are Looking For

  • Experience: 3+ years of experience as an Executive Assistant, ideally supporting a C-suite executive, Executive Director, or founder in a fast-growing environment.
  • Communication Mastery: Exceptional written and verbal communication skills. You can write a diplomatic email to a board member or a quick, clear update to the team with equal ease.
  • Proactivity & Problem Solving: A “get things done” mindset. You don’t just flag problems; you bring two potential solutions along with them.
  • Tech Savviness: Deep familiarity with modern productivity tools (e.g., Google Workspace or Microsoft 365, Slack, Zoom, and project management tools like Asana or Trello).
  • Discretion & Nuance: Absolute integrity when handling highly sensitive financial, legal, or personnel information.
