Tera Fleet Management Limited is currently seeking to employ a Document Management Specialist to join our growing team.
POSITION: Document Management Specialist (X1)
LOCATION: Ndola
DEPARTMENT: Data
JOB PURPOSE
The primary responsibility of a Document Management Specialist will be to collect, verify, organize, archive, and preserve all relevant transportation documents from various departments including transport & logistics, operations, and fuel tanker fleet.
MAIN DUTIES AND RESPONSIBILITIES
To receive and inspect all documents for the company’s and sub-contractor’s fleet of trucks, including PODs, invoices, licenses, insurance, cross-border clearance documents and receipts.
To manage the life cycle of documents including from capturing, categorizing, storing, retrieving, and archiving.
Develop and implement document management processes and procedures.
Identify and classify documents according to relevant criteria such as content, purpose, or order of occurrence.
Securing sensitive documents and ensuring strict access control for authorized personnel only.
Ensuring that all document management processes comply with relevant laws, industry standards and internal policies.
Maintain strict confidentiality of information under custody.
Perform any other administrative duties assigned by the supervisor.
QUALIFICATIONS AND REQUIREMENTS
Minimum Diploma in Transport and Logistics or related field.
Minimum 3 years’ experience in a reputable logistics company managing truck documents for inland and cross-border transportation.
Must be familiar with relevant documentation for inland and cross-border transportation for fuel/acid tankers, flat bed and low bed trucks.
Excellent written and communication skills.
Strong sense of responsibility and meticulous work ethic.
Proficiency in Microsoft Office (or equivalent office software) and basic computer operation skills.
Aged 35 years and below.
Permanent residence in Ndola and the Copperbelt is preferred.
