CALL FOR QUOTATIONS

CAMFED is a pan-African movement supporting girls to go to school, thrive and become influential leaders and changemakers in their communities. We are operational in all the districts of Western, Muchinga, Luapula, Northern and Central Provinces & Chipata and Chama Districts.

CAMFED Zambia invites quotations by email for the supply and installation of solar equipment in the following 16 districts:

Isoka District
Samfya District
Kasama District
Lukulu District
Mporokoso District
Sesheke District
Luwingu District
Kaoma District
Chinsali District
Mongu District
Mpika District
Mansa District
Chienge District
Mbala District
Kawambwa District
Lusaka District

A1. CLASSIFICATION OF QUOTATION REQUIRED – 15 DISTRICTS

For assessments of installation for Lusaka district, please register by email your interest in assessing the premises, located at Plot 10433, Chisekela Road, Near ZPPA office, Longacres for time to be allocated on Thursday 13th March 2025 between 9hrs to 14hrs. Expression of interest should be emailed to procurement@camfed.org with the subject “Expression of interest Office Assessment for Solar Installation”.

B. DOCUMENTS REQUIRED

All quotations should be Zipped with the name of the supplier and sent by email to CAMFED Procurement using the email procurement@camfed.org not later than Friday 18th March at 13.00hrs Central African Time (CAT). The documents required must include the following:

Copy of certificate of incorporation – PACRA business registration documents
Zambia Revenue Authority Registration Certificate
2025 Tax Clearance Certificate
ZPPA Certificate
Company profile
At least three customer references – testimonies of customer experiences
Letter from bank confirming company’s bank details and duration with bank
Contact Details – email, active phone number/s, postal and physical address.

Emails received later than 13:00hrs (CAT) on 18th March will not be accepted.

Failure to send the quotation with accompanying documents by email at 13.00hrs (CAT) shall result in the disqualification of the supplier.

C. INFORMATION ON SUPPLY AND INSTALLATION OF SOLAR EQUIPMENT:

Supply of solar equipment should include the full set (panels, inverter, batteries, and all accessories for installation).
Supply of solar equipment must be for all districts listed.
Installation of solar equipment must be for all districts listed.
Quotations must be submitted in Zambian Kwacha (only) and can either be for:
I) supply and installation of solar equipment for all the listed districts
II) supply of solar equipment for all the listed districts
III) or installation of solar equipment for all the listed districts

D. GENERAL INSTRUCTIONS

You are requested to strictly provide particulars as indicated above.
CAMFED reserves the right to visit and inspect the business premises of all the applicants to verify the information provided.
All information shall be treated as confidential.
CAMFED will communicate the outcome of the prequalification exercise to the applicant(s).
Delivery period of items should be within 30 working days upon awarding of order to successful supplier and not later than 30th April 2025.
Payment Terms – 50% payment upon order and 50% payment after successful delivery of consignment.
CAMFED reserves the right to split quantities based on capacity to deliver, value for money, and has the right to accept or reject any or all Quotations received.
All costs of transportation during assessment and installation process will be covered by the supplier.

E. OTHER CONDITIONS

The supplier should be able to provide a detailed load assessment, including electrical requirements for each office.
A breakdown of the technical details of the solar system, including equipment, capacity, and other essential elements as part of installation.
Provide layout plans and design schematics for the system installation at each location.
