Role Summary for Assistant Procurement Officer Jobs in Lusaka

The Assistant Procurement Officer will provide essential support in procurement management, supplier relations, contract administration, inventory coordination, and procurement record maintenance. Reporting to the Finance Manager, the successful candidate will ensure procurement activities comply with internal policies and external regulations while promoting transparency and ethical practices.

Key Responsibilities

  • Procurement Management: Assist in preparing and processing purchase requisitions, purchase orders, and procurement plans; source quotations and proposals; conduct market research; support supplier evaluation and selection; and monitor order delivery timelines.
  • Supplier and Contract Administration: Maintain an updated supplier database; liaise with suppliers on orders, delivery, and payment issues; assist in monitoring supplier performance and contract compliance; and support negotiation efforts to maximize value.
  • Documentation and Reporting: Keep accurate procurement records and prepare reports for the Finance Manager; ensure all documentation is audit-ready and complete.
  • Inventory and Asset Support: Coordinate with stores and departments to track stock levels and procurement needs; verify received goods; and assist with inventory and asset management processes.
  • Compliance and Internal Controls: Ensure procurement activities adhere to organizational policies and regulations; support audits by providing documentation; and uphold accountability and ethical standards.

Qualifications and Experience

  • Diploma or Bachelor’s Degree in Procurement and Supply Chain Management, Purchasing and Supply, Business Administration, Logistics, or a related discipline.
  • Membership in a recognized procurement professional body is an advantage.
  • 1 to 3 years of relevant experience in procurement or supply chain management.

Skills and Competencies

  • Strong understanding of procurement and supply chain principles.
  • Excellent organizational and record-keeping abilities.
  • Effective negotiation and communication skills.
  • Proficiency in Microsoft Office, especially Excel.
  • Ability to work independently and collaboratively within a team.
