Administrative Assistant – Occupational Health

Mary Begg Health Services is seeking a dedicated Administrative Assistant to join our Occupational Health department in Solwezi, Northwestern, Zambia. About the Role

As the first point of contact for patients, clients, visitors, and healthcare professionals, the Administrative Assistant plays a vital role in ensuring smooth front office operations. Responsibilities include assisting new clients with clinic registration, providing information on Mary Begg Health Services’ offerings, coordinating appointment schedules, and facilitating patient flow by liaising with medical and nursing staff. The position demands professionalism, excellent customer service, and the ability to work independently while upholding strict confidentiality.

Key Responsibilities for Administrative Assistant Jobs in Solwezi

  • Welcome and assist clients and visitors courteously, maintaining a positive and professional front office image.
  • Ensure the front office environment is clean, safe, and compliant with infection control procedures.
  • Guide clients through registration processes and maintain accurate attendance records.
  • Manage telephone communications effectively, ensuring messages are conveyed promptly and accurately.
  • Coordinate appointment scheduling and follow-up for fitness assessments and reviews.
  • Issue Fitness Certificates and manage billing in line with established procedures.
  • Prepare and submit daily, monthly, and annual departmental statistics on time.
  • Monitor missed appointments and take appropriate action within 24 hours to ensure client compliance.
  • Support administrative projects such as file inspections and archiving.
  • Report any issues involving clients, staff, or technical equipment to relevant supervisors or departments.
  • Assist with scheduling and maintenance of clinical equipment as required.
  • Adhere strictly to Mary Begg Health Services’ policies, code of conduct, and confidentiality agreements.
  • Participate in departmental training sessions and deliver presentations on assigned topics.

Qualifications and Experience

  • Diploma in Business Administration or a related field.
  • Minimum of 2 to 3 years’ experience in front office operations.
  • Proficiency with business information systems or customer relationship management software.
  • Experience in Occupational Health is advantageous but not mandatory.
  • Previous records management experience is considered an asset.
