Key Responsibilities of the Administration Officer
The successful candidate will oversee a broad range of administrative functions to support smooth office operations and employee welfare, including:
Daily Office and Administration Management: Oversee daily office operations, manage employee attendance and access procedures, procure and track office supplies, conduct fixed asset stocktaking, maintain office environment, and coordinate logistics including premises, staff dormitories, and company vehicles.
Meeting Coordination: Arrange meetings, book meeting rooms, prepare minutes, and manage document distribution and filing.
Document and Archives Management: Draft and organize company administrative notices and bilingual documents, classify and file contracts and official correspondence, maintain records of company seal usage, manage licenses and certificates, and compile monthly administrative reports.
Logistics and Employee Welfare: Coordinate staff accommodation, catering, transportation, and labor protection supplies; manage welfare matters for both local and Chinese employees; receive and schedule visiting clients, partners, and government officials; arrange business travel and handle travel expense documentation.
External Liaison: Communicate with local government, tax, municipal, and property authorities; handle registration, payment, and compliance formalities; coordinate external service providers such as maintenance, cleaning, and security.
Finance Support: Review and submit administrative expense reimbursements, record petty cash transactions, maintain expense ledgers, and oversee payment of utilities and office expenses.
General and Ad Hoc Duties: Implement company policies, organize internal activities, support HR, finance, and business departments administratively, and complete other tasks as assigned by management.
Qualifications and Experience Required for Administration Officer Jobs in Lusaka
Prospective candidates should meet the following criteria to excel in this role: Maps
College degree or higher in Administration, Secretarial Studies, Business Management, or related fields. Possession of an HR professional certificate is an advantage.
Good health, strong sense of responsibility, and exemplary personal conduct.
Fluency in oral and written English, with the ability to handle English documents and communicate effectively with local authorities.
Proficiency in office software, including document editing, data analysis, and filing management.
Familiarity with daily administrative tasks, fixed asset management, and official seal and certificate administration.
Excellent communication, coordination, and organizational skills with a careful and logical approach to work.
Relevant administrative experience; overseas working experience is highly preferred.
High confidentiality awareness and ability to adhere to company policies and perform ad hoc duties.
Valid driving license with more than three years of driving experience.
