2. Position Overview

We are seeking a highly organized, approachable, and confident Receptionist to serve as the face of our Kitwe branch. As the first point of contact for visitors and clients, you will play a pivotal role in creating a welcoming and professional office environment while providing outstanding administrative support to ensure smooth daily operations.

3. Key Responsibilities

Professionally greet and assist visitors, clients, and suppliers upon arrival.
Operate a multi-line telephone system; screen and direct calls accordingly.
Respond to general inquiries about company services via phone, email, and social media.
Maintain a tidy and organized front desk and reception area at all times.
Coordinate meeting room schedules and prepare materials/refreshments for meetings.
Handle cash payments and process POS transactions; liaise with the finance department.
Assist with data entry, filing, record keeping, and general administrative tasks.
Monitor and replenish front office supplies and report maintenance needs.
Ensure full compliance with data privacy, company confidentiality, and safety procedures.
Support the wider team with overflow administrative tasks as required.

4. Minimum Qualification, Skill and Competencies

Diploma in Business Administration or related field. Certification in Office Management is an added advantage.
Minimum 2 years in a receptionist or front office role in a professional environment.
Proficient in Microsoft Office Suite (Word, Excel, Outlook); knowledge of POS systems is a plus.
Communication: Exceptional verbal and written communication skills in English.
Friendly, courteous, with a strong customer service orientation.
Maintains confidentiality, has a polished appearance, and represents the company positively.
Able to manage multiple tasks and prioritize in a fast-paced environment.
