Job description

Excellence Skills Corporation Limited, a leading recruitment firm in Zambia, is hiring on behalf of a well-established and reputable company based in Kitwe, Zambia. The company specializes in personal protective equipment (PPE), engineering works, spares, consumables, logistics, mining support services, and general supply.
We are seeking a highly organized and detail-oriented Stores & Inventory Officer to manage warehouse operations, inventory accuracy, and materials management to ensure seamless business operations.

Key Responsibilities
Receiving & Inspection of Materials
Supervise receiving and quality inspection of incoming goods.
Verify received stock against purchase orders and invoices for accuracy.
Identify and report damaged or incorrect deliveries for resolution.
Maintain detailed records of received goods and coordinate with procurement for any discrepancies.
Inventory Management & Control
Implement and maintain inventory control systems to ensure accurate stock records.
Conduct regular stock counts and reconciliations to maintain inventory accuracy.
Monitor stock levels to prevent overstocking, shortages, or wastage.
Identify slow-moving or obsolete stock and recommend appropriate actions.
Develop and implement inventory forecasting techniques to improve demand planning.
Storage & Warehouse Organization
Manage warehouse layout, space utilization, and organization for efficiency.
Ensure proper labelling, categorization, and storage of materials, including PPE, spares, and consumables.
Maintain a safe, clean, and compliant warehouse environment in accordance with company policies.
Develop and enforce best practices for warehouse efficiency and safety.
Order Processing & Dispatch
Oversee picking, packing, and dispatch of materials to meet client and internal department requests.
Ensure timely and accurate fulfilment of orders.
Coordinate with logistics teams for smooth transportation and delivery of goods.
Maintain proper documentation for dispatched items, ensuring proper tracking and accountability.
Compliance & Risk Management
Ensure strict adherence to Zambian procurement laws, company policies, and industry safety standards.
Implement security measures to protect inventory from theft, damage, or loss.
Conduct risk assessments for warehouse operations and develop mitigation strategies.
Ensure staff adherence to safety protocols and participate in compliance audits.
Supplier & Vendor Coordination
Work closely with suppliers to ensure timely delivery and resolve discrepancies.
Maintain strong vendor relationships to ensure reliable supply chains.
Assist in evaluating supplier performance and recommend improvements.
Reporting & Documentation
Maintain accurate records of inventory transactions, including receipts, issues, adjustments, and audits.
Prepare inventory reports to support procurement planning and decision-making.
Develop and maintain key performance indicators (KPIs) for inventory control and warehouse management.
Process Improvement & Technology Integration
Identify and implement process improvements to enhance warehouse and inventory efficiency.
Utilize inventory management systems and ERP software to streamline operations and reporting.
Recommend and oversee the implementation of automated inventory tracking solutions.
Team Coordination
Train and mentor other warehouse and inventory staff to enhance efficiency and safety.
Foster a culture of teamwork, accountability, and continuous improvement.
Establish clear operational goals and ensure alignment with company objectives.
Qualifications & Experience
Grade 12 Certificate.
Diploma in Procurement, Supply Chain Management, Logistics, or a related field.
Minimum of 1 year of relevant work experience in stores or inventory management.
Proficiency in inventory management software and Microsoft Office Suite.
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Knowledge of safety regulations and protocols in industrial settings.
Experience with ERP systems and warehouse automation tools is an added advantage.
