About the position

About the Client

Our client is an International Non-profit Organization dedicated to improving public healthcare across East and Southern Africa. Expanding operations into Zambia with offices in Kabwe, Central Province, our client partners with government entities to reduce maternal and neonatal mortality.

Purpose of the Role

The Finance and Administrative Manager (FAM) shall lead, establish, and manage the Organisation’s financial operations in Zambia, ensuring full compliance with Zambian laws, donor regulations, and organizational policies. The FAM shall report to the CFO and CEO in the US, and the Country Manager as the head of operations in Zambia. You will drive the organization’s financial management growth, establish local banking relationships, manage grant compliance, and support program teams. The successful candidate will have a strong background in NGO finance, excellent analytical skills, HR, administration and the ability to work independently.

Job Responsibilities

  • Lead all financial and administrative operations for Zambia’s office, including budgeting, forecasting, cash flow management, and financial reporting.
  • Ensure compliance with Zambian statutory requirements (ZRA, PACRA, NAPSA, NHIMA), donor regulations, and organizational policies.
  • Establish and maintain accurate financial records, ledgers, and accounts in compliance with local and international accounting standards.
  • Develop and implement financial policies, internal controls and procedures for the Zambia office.
  • Prepare and submit timely financial reports to the US CFO, CEO, Country Manager, and donors.
  • Manage grant budgets, track expenditures, and prepare donor financial reports in accordance with grant agreements.
  • Conduct financial analysis, variance analysis, and provide strategic recommendations to management.
  • Ensure staff, mentors and volunteers are compliant to policies, manage contracts, payroll, as well as overseeing procurement
  • Lead on operations & logistics, process payments, track budgets vs actuals, handle contracts, staff leave/travel, office leases, and filing of government/NGO compliance docs so the program stays audit-read
  • Liaise with external auditors, banks, and regulatory bodies in Zambia.
  • Provide financial guidance and training to program and operations teams.
  • Take on any other responsibilities as may be assigned by the supervisor

Person Specifications

Qualifications and Experience

  • ACCA, CIMA, ZICA CA Zambia, Bachelor’s Degree in Accounting, Finance, or a related field from a recognised institution.
  • Minimum 5 years of progressive experience in Finance,with at least 2 years in a managerial role, preferably with an NGO in Zambia.
  • Strong knowledge of Zambian financial regulations, tax laws, and NGO compliance requirements (PACRA, ZRA, NAPSA).
  • Member of ZICA

Required Knowledge, Skills and Abilities

  • Excellent analytical, communication, and problem-solving skills.
  • Proficiency in financial software and systems (e.g. QuickBooks, Excel)
  • Ability to work in a fast-paced environment, work across timezones and meet deadlines

Desirable Qualifications:

  • Master’s degree in Accounting, Finance, or related field
  • Experience working with international donors and grants
  • Knowledge of financial regulations and laws in Zambia
  • Experience establishing financial systems for a new country office
