Job description
Business Support Executive
Position Overview
The Business Support Executive provides cross-departmental operational and administrative support while serving as the Personal Assistant to the Chief Executive Officer. The role ensures efficient workflow, scheduling, and coordination of the CEO’s and company’s activities.
- Reports to: Chief Executive Officer (Primary) and dotted-line support to the HR & Administration Manager
- Supervises: None
Executive Support:
- Manage the CEO’s calendar, correspondence, and travel arrangements.
- Coordinate and schedule internal and external meetings.
- Prepare reports, presentations, and meeting documentation.
- Handle confidential information with discretion.
- Serve as liaison between the CEO and internal/external stakeholders.
Business Support Functions:
- Provide administrative support to various departments.
- Coordinate client communications, documentation, and logistics.
- Support the planning and execution of training, workshops, and events.
- Maintain accurate records, databases, and follow-up systems.
- Ensure smooth day-to-day operations and timely reporting.
- Bachelor’s degree in Business Administration or related field.
- 2+ years’ experience as a Personal Assistant, Executive Assistant, or Administrative Officer.
- Member of the Zambia Institute of Secretaries (ZIS).
- Excellent communication, coordination, and organisational skills.
- Proficiency in Microsoft Office and digital collaboration tools.
- High degree of confidentiality, professionalism, and attention to detail.
