Role Overview: Office Administrative Assistant Jobs in Lusaka

As an Office Administrative Assistant, you will play a pivotal role in maintaining smooth daily operations across multiple functions. Your responsibilities will span HR support, office and facilities management, as well as fleet and asset oversight. This position requires a proactive approach, strong organizational skills, and excellent communication abilities to ensure a well-run and compliant work environment.

Key Responsibilities

  • HR Support & Administration:
    • Assist the HR Manager with recruitment processes and disciplinary procedures.
    • Maintain secure, accurate, and up-to-date employee records.
    • Monitor and communicate upcoming employee confirmation dates and contract renewals.
    • Manage employee leave applications and update the leave roster to maintain adequate staffing.
  • Office & Facilities Management:
    • Order and manage inventory of office supplies and consumables to avoid shortages.
    • Ensure cleanliness and upkeep of office interiors, exteriors, and windows.
    • Support planning and execution of company events.
    • Implement and monitor workplace health and safety protocols.
  • Fleet & Asset Management:
    • Oversee maintenance and cleanliness of company vehicles.
    • Maintain detailed records of vehicle repairs and schedule proactive maintenance.
    • Ensure all vehicles have valid road tax and fitness certificates, tracking renewal dates.
    • Monitor insurance coverage for company assets and notify relevant parties before expiration.

Qualifications and Skills

  • Full Grade 12 Certificate.
  • Diploma in Human Resource Administration.
  • At least one year of relevant professional experience.
  • Exceptional attention to detail and strong organizational skills.
  • Excellent presentation and communication skills.
  • Fluent command of written and spoken English.

SalaryFrom ZMW 10,000 per month (gross)
