Key Responsibilities for Order Desk Administrator Jobs in Kitwe

The successful candidate will play a vital role in managing the sales order process and supporting customer relations. Responsibilities include:

  • Sales Order Management: Receive, process, and accurately enter customer orders into the sales system. Coordinate with logistics and warehouse teams to ensure timely deliveries and resolve order-related issues.
  • Customer Support and Communication: Serve as the primary contact for customer inquiries, provide quotations, product information, and order updates. Maintain strong relationships through prompt and professional communication, handling complaints and escalating as needed.
  • Sales Documentation: Prepare quotations, sales contracts, and purchase orders while maintaining accurate sales records and ensuring compliance with company policies.
  • Reporting and Data Management: Generate regular sales reports, track performance against targets, maintain customer databases and CRM systems, and analyze sales data to provide actionable insights to management.
  • Coordination and Internal Support: Facilitate collaboration between sales, finance, operations, and logistics departments. Follow up on outstanding payments, schedule meetings and sales presentations, and support the sales team’s administrative needs.
  • Inventory and Delivery Coordination: Monitor stock levels, communicate shortages, coordinate deliveries and customer collections, and liaise with supply chain personnel to ensure product availability.
  • Financial Administration: Assist with invoicing and credit note processing, verify pricing and discounts, and support debt collection efforts by tracking overdue accounts.
