About the Administration Manager Role

The Administration Manager will be responsible for managing office operations, executive and office support, records and asset management, procurement coordination, vendor relations, facilities upkeep, budget monitoring, HR administrative support, and process improvement initiatives. This role ensures seamless office functionality, safeguards corporate records, supports cross-functional teams, and implements policies that promote operational excellence and compliance. The successful candidate will collaborate closely with management, human resources, finance, procurement, operations, external vendors, and government agencies.

  • Oversee the maintenance and efficient operation of office facilities, equipment, assets, and company vehicles.
  • Manage daily administrative activities to ensure smooth office support services.
  • Develop and enhance administrative policies, procedures, and controls aligned with company standards and regulatory requirements.
  • Coordinate calendars, meetings, travel, and conferences for senior management and executives.

  • Assist with administrative budget preparation, expenditure monitoring, and cost optimization.
  • Support HR functions including attendance, leave management, onboarding, and employee engagement.
  • Conduct research to support management decisions and business projects.
  • Coordinate administrative requirements for company events, meetings, and workshops.
  • Continuously improve administrative processes and employee experience.
  • Undertake additional responsibilities and special assignments as needed.

Qualifications and Experience Required

  • Bachelor’s Degree in Business Administration, Management, Public Administration, Commerce, or related fields.
  • Professional certifications in Administration, Office Management, Procurement, or Facilities Management are advantageous.
  • Minimum of 5 years’ relevant administrative experience, including at least 2 years in a supervisory or managerial role.
  • Experience in mining, construction, infrastructure, manufacturing, or related industries is preferred.
  • Proven expertise in office administration, facilities and vendor management, procurement support, asset and records management, budget oversight, and executive support.
  • Excellent organizational, time management, verbal, and written communication skills.
  • Strong leadership, team coordination, problem-solving, and decision-making capabilities.
  • High professionalism, integrity, confidentiality, attention to detail, and commitment to operational excellence.
  • Ability to manage multiple priorities and meet deadlines effectively.
  • Strong negotiation and vendor management skills.
  • Proficiency in Microsoft Office Suite and administrative management systems.
