About the Front Desk Receptionist Role
As the first point of contact for Magnum Security, the Front Desk Receptionist plays a vital role in creating a positive impression for visitors, clients, and staff. You will be responsible for managing all front office activities, including greeting guests, handling telephone inquiries, scheduling appointments, and maintaining office security. Key Responsibilities for Front Desk Receptionist Jobs in Lusaka
- Greeting and Welcoming Visitors: Warmly receive visitors and direct them to the appropriate personnel or department.
- Managing Phone Calls: Operate a multi-line telephone system, respond to inquiries, and provide accurate information to callers.
- Scheduling and Coordination: Arrange appointments, maintain calendars, and organize meetings and conference rooms as required.
- Mail Handling: Sort and distribute incoming mail and packages; prepare outgoing mail and courier shipments efficiently.
- Administrative Support: Assist various departments with administrative tasks and help maintain office supplies and equipment.
- Office Security and Reception Area: Monitor premises security, control visitor access by issuing badges, and ensure the reception area remains tidy and presentable.
Qualifications and Experience
- Minimum Grade 12 Certificate with at least five ‘O’ levels, including credit or better in Mathematics and English.
- Certificate or Diploma in Office Administration is required.
- Proven work experience of 2 to 3 years in a similar receptionist or customer service role.
Skills and Attributes
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Professional attitude and appearance with excellent verbal and written communication skills.
- Strong organizational skills and ability to multitask effectively.
- Ability to maintain confidentiality and handle sensitive information discreetly.
