The Grant Administration Officer will play a pivotal role in enhancing the coordination, compliance, and effectiveness of grant-funded conservation initiatives. This fixed-term contract position based at the Zambia Country Office in Lusaka will support the full grant lifecycle—from identifying funding opportunities and developing proposals to managing reporting, compliance, and audit processes.

Working closely with senior grant management and project leaders, the GAO will streamline grant administration, improve data management, and ensure that donor requirements align with internal processes and project objectives. Key Responsibilities for Grant Administration Officer Jobs in Lusaka

  • Extract and summarise key data for reporting, communications, and donor engagement.
  • Support alignment of project data with internal and headquarters reporting requirements.
  • Represent FZS Zambia in relevant liaison activities as required.
  • Assist with coordination of annual events and reporting processes.
  • Provide general administrative support to project teams and senior staff.
  • Contribute to data collection and metrics tracking for project monitoring and reporting.

Candidate Profile and Qualifications

  • Bachelor’s degree in Business Administration, Project Management, Development Studies, or a related field.
  • 3 to 5 years of experience in grant administration, project coordination, or similar roles.
  • Strong organisational skills with meticulous attention to detail and accuracy.
  • Experience managing donor-funded documentation, timelines, and reporting requirements.
  • Familiarity with compliance, procurement, and audit preparation is advantageous.
  • Proficiency in Microsoft Office and document management systems such as SharePoint.
  • Excellent communication and coordination skills, able to work collaboratively across teams.
  • Ability to prioritise tasks, meet deadlines, and adapt proactively to changing demands.
