Overview
The Zambia Coffee Growers’ Association Ltd (ZCGA) invites applications from suitably qualified and experienced professionals for the position of Manager.
This is a senior leadership role responsible for the overall operational, commercial, financial oversight, and strategic coordination of the Association. The successful candidate will work closely with the Board of Directors to ensure efficient administration, compliance, quality assurance, market facilitation, and member service delivery within Zambia’s coffee sector.

Personnel & Administration
Manage ZCGA personnel and oversee day-to-day office operations.
Ensure compliance with all legal, regulatory, licensing, and statutory requirements.
Ensure workplace health and safety compliance.
Maintain proper operational, commercial, and administrative records.
Governance Support
Provide periodic operational and financial reports to the Board.
Support implementation of Board-approved programs and initiatives.
Finance & Budget Oversight
Oversee preparation and administration of the annual budget (in coordination with the Finance Manager).
Monitor financial performance against approved budgets.
Support preparation of annual financial statements.
Coordinate external audits and ensure timely provision of documentation.
Support implementation of internal control systems.
Sales, Logistics & Payments
Administer coffee sales transactions, including export permits and shipment documentation.
Coordinate booking of trucks, containers, and vessels.
Track shipments and liaise with buyers.
Process payments to growers and service providers.
Maintain clear communication with growers regarding payment status.
Quality Control, Market Facilitation & Industry Promotion
Oversee physical and sensory quality assessment, grading, and cup profile reporting.
Administer lot numbering and traceability systems.
Record sales and prepare grower sales reports.
Submit required trade and statistical reports to regional and international coffee bodies.
Execute Board-approved marketing and promotional initiatives.
Insurance, Storage & Stock Control
Oversee insurance of coffee in storage and transit.
Conduct monthly stock-taking and inventory reconciliation.
Monitor coffee movement during processing stages.
Processing & Mill Operations
Manage intake and processing operations.
Oversee post-processing activities including blending, bulking, matching, and bagging of green bean coffee.
Phytosanitary Control
Coordinate fumigation in line with export requirements.
Enforce hygiene and sanitation standards in storage and processing facilities.
Communications & External Relations
Manage official communication with government and international organizations.
Administer the Association’s web presence.
Property Management
Oversee leasing, maintenance, insurance, and reporting for ZCGA properties.
Member Relations
Maintain regular communication with member growers.
Coordinate services and respond to member inquiries.
Maintain and update the membership register.
Ensure compliance with membership obligations and fee payments.
Reporting Line
The Manager reports directly to the Board of Directors through the Chairperson.
Minimum Requirements
Bachelor’s Degree in Agribusiness, Business Administration, Finance, or a related field
Minimum 7–10 years’ relevant management experience, and at least 5 years experience in export
Export experience is mandatory and strong knowledge of export procedures (licences), logistics, and documentation.
Experience in financial oversight and budget management.
Understanding of quality control and processing operations within the coffee or agricultural sector will be an advantage.
Strong leadership, organizational, and communication skills.
High level of integrity and ability to work with minimal supervision
