Job Purpose:
The Receptionist will be responsible for answering incoming calls, directing calls to appropriate staff, mail distribution and providing additional clerical support to Senior ManagementJob alerts service
Summary of Key Responsibilities;
Front office management- ensure the reception area is tidy and presentable
Welcoming guests, determining the nature of business, and directing guests to the appropriate personnel/Lawyer.
Answering incoming telephone calls in a professional manner, determining the purpose of callers, and forwarding calls to person or department.
Help to organize internal and external meetings
Maintain continuity among work teams by documenting and communicating actions, irregularities, and continuing needs
Order office supplies and keep an inventory of stock
Weekly update calendars and schedule meetings
Perform secretarial duties include organizing/maintaining files (typing of legal documents)
Any other duties as assigned by the immediate Supervisor

Primary Areas of Accountability:
Qualifications and Experience
Diploma in Front Office Management or Public/Business Administration/related field
Must have a minimum of 3+ years work experience as a Receptionist/Front Office or Executive Assistant in the NGO sector
Proficiency in Microsoft Office Suite
Must have proven experience in minute taking
