Job description

Administration Officer

We seek to hire an Administration Officer who will support the organization and smooth running of daily administrative operations. Reporting to the Executive Director, this role requires a detail-oriented professional capable of managing multiple tasks, supporting executive functions, and ensuring efficient office systems. The ideal candidate will demonstrate discretion, strong organizational skills, and the ability to build productive working relationships.

Main Duties and Key Responsibilities

Administrative Support

Organize the office and assist the team to optimize procedures.
Sort and distribute communications in a timely manner.
Create and update records, ensuring accuracy and validity of information.
Manage schedules, deadlines, meetings, and appointments using an electronic calendar.
Resolve office-related issues and coordinate with other departments.
Monitor and manage office supplies and budgets.
Perform receptionist duties when required.

Executive Support

Provide daily administrative support to the Executive Director, including managing calendars, travel plans, expense reports, and correspondence.
Coordinate logistics for meetings, workshops, and board sessions.
Draft letters, reports, and official communications.
Serve as administrative liaison to the Board of Directors, managing board activities and materials.
Prepare minutes of meetings, follow up on action items, and coordinate senior management team agendas.

 

Qualifications, Skills, and Experience

Diploma or degree in Administration, Business Studies, or a related field.
At least 2 years’ experience in a similar administrative role.
Strong interpersonal and communication skills, with ability to interact at all levels.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
Excellent organizational and multitasking abilities.
High level of discretion, integrity, and problem-solving skills.
