Job Purpose
As a Customer Care Representative, you will play a vital role in managing daily customer transactions, maintaining accurate financial and operational records, and supporting logistics and warehouse operations. You will serve as a key liaison between customers and internal teams to ensure excellent service delivery and operational efficiency.
Key Responsibilities
Cash & Sales Processing
Process daily cash payments from walk-in and wholesale customers.
Generate and issue accurate cash sale invoices with complete documentation.
Receive and verify physical cash against sales orders and receipts.
Record Management
Maintain daily sales records and cash summaries.
Submit detailed reports to the Accounts team.
File and organize transaction documents and delivery notes.
Accounts Receivable
Follow up on outstanding invoices and payments.
Communicate with customers to resolve payment issues or discrepancies.
Warehouse Coordination
Assist with the loading and dispatching of goods.
Ensure smooth coordination between sales and logistics.
Vehicle & Transport Admin
Monitor vehicle documentation (road tax, insurance, fitness).
Update records and alert management of expiry timelines.
Coordinate payments for third-party transport services.
Order Processing
Import and enter and creating all type of orders into the system.
Ensure accuracy and prompt data entry.
Stock & Reporting Support
Support tracking of stock movements.
Contribute to weekly sales and financial reporting.
Customer Account Setup
Open and manage customer profiles in the company’s database.
Ensure information accuracy and compliance.
Qualifications & Experience
Education: Diploma or Bachelor’s Degree in Business Administration, Finance, or related field.
Experience: Minimum 1 year in customer service, cashiering, or logistics support role.
Technical Skills: Proficiency in Microsoft Excel (data entry, basic formulas, reports). Familiarity with POS systems and invoicing tools.
Communication Skills: Strong written and verbal communication skills. Customer-focused with problem-solving abilities.
Attention to Detail: Accuracy in cash handling, data entry, and document management.
Team Player: Ability to work cross-functionally with warehouse, accounts, and transport teams.
